1. Introduction

Playbook (“we,” “our,” or “us”) provides a customizable documentation and training app designed to work seamlessly within your store's admin environment. This Privacy Policy explains how we collect, use, and protect your information when you use our app.

2. Information We Collect

We may collect the following types of information:

From Shopify:

  • Store details (name, domain, store email)
  • Owner contact information (name, email)
  • Shopify access tokens (used securely to connect to your store)
  • Installed apps, plan type, and permissions (for compatibility and support)

From Your Use of Playbook:

  • Content you add to Playbook (e.g., training pages, notes, SOPs)
  • User activity (e.g., page creation, updates, search queries)
  • Device/browser metadata (for app performance monitoring)

We do not collect customer data, sensitive financial information, or full payment details.

3. How We Use Your Information

We use your information to:

  • Provide and improve Playbook functionality
  • Securely connect and authenticate your store
  • Deliver customer support and app updates
  • Analyze anonymized usage data to enhance performance
  • Communicate with you (if opted in) for support or updates

We do not sell, rent, or trade your personal data.

4. Data Storage & Security

  • Playbook uses Shopify’s native Pages system to store your content (e.g., documentation, SOPs, onboarding notes).
  • All data remains within your Shopify store—we do not host content externally.
  • All communication uses secure HTTPS/TLS encryption.
  • App-related metadata is stored on secure servers in the U.S. under industry-standard safeguards.

Third-party processors used by Playbook — including MongoDB Atlas and Mantle — are contractually required to maintain appropriate security standards and may only process your data as directed by us.

5. Data Retention & Deletion

  • Personal and store data is retained only as long as necessary for app operation or legal compliance.
  • If you uninstall Playbook, all associated access tokens and metadata are deleted within 48 hours.

6. Sharing of Information

We may share information only as necessary with:

  • Shopify, for app functionality and compliance
  • Service providers, such as hosting or analytics platforms, under strict confidentiality
  • Legal authorities, only if required by law

We do not share documentation content or merchant data with advertisers or marketing partners.

7. Cookies, Tracking & Third-Party Tools

We use cookies and similar technologies to support app functionality and to better understand how users interact with our services. Below is a full disclosure of the tracking tools we use and the types of data each may collect.

Session Recording & Behavioral Analytics — Hotjar

We use Hotjar for session recording, heatmaps, and behavioral analytics. Hotjar collects data about how users interact with our app and website, including clicks, taps, scrolls, and navigation patterns. It also collects technical data such as device type, browser information, screen size, and approximate geographic location (country only), as well as online identifiers such as IP addresses.

Hotjar uses first-party cookies and similar technologies to collect this data on our behalf. We do not use Hotjar to collect your name, email, or other directly identifying information unless you explicitly submit it through a form.

We do not infer or set consent on your behalf. If you wish to opt out of Hotjar data collection, you may do so at https://www.hotjar.com/legal/compliance/opt-out.

Playbook operates exclusively within the Shopify admin environment and is never exposed to storefront visitors. No behavioral tracking is activated on your storefront.

Usage Analytics — Mantle (Mantle RevOps Inc.)

We use Mantle to track in-app usage events and analyze how merchants interact with Playbook. Data collected may include your shop name, plan type, and behavioral usage events within the app (such as feature interactions and session activity). This data is used to monitor app health, understand feature adoption, and improve our service.

Data Storage — MongoDB Atlas (MongoDB, Inc.)

We use MongoDB Atlas, a cloud-hosted database service, to securely store Shopify access tokens linked to your merchant account. This data is used solely to authenticate and maintain your connection to Playbook. It is not used for marketing purposes and is not shared beyond what is operationally necessary.

8. Your Rights

Depending on your location, you may have rights to:

  • Access, correct, or delete your personal data
  • Withdraw consent or object to certain types of processing
  • File a complaint with your local data authority
